Functions:

 

The Project Manager reports to the Operations Manager and is responsible for the proper execution of several projects concurrently. Timely delivery, technical compliance, project control and professional approach are the main responsibilities. Ensure the swift implementation and delivery of projects based on Caterpillar engines and/or installations, in accordance with customer requirements, order confirmation and quality standards, so that an optimum project result is achieved.

The Project Manager supports the Account Manager during commercial and tender activities and accepts the responsibility for the execution phase of the project. Project execution includes supplier and sub-contractor management, project planning, cost control, reporting, progress review, document control, technical compliance assurance, engineering, manufacturing, commissioning, quality and HSE.

The Project Manager is supported by one or more Project Support Engineers and a Document Control Engineer. Additional support will be given by Business Control and Account Management.

The projects are performed according to the internal procedures and in compliance with the customer specifications. The budget is accepted from sales or a modified budget is prepared before project kick-off. It is the Projects Manager’s responsibility to realize the set goals for delivery, technical compliance and profit.

 

 

Main tasks

 

1. Support sales

 

Support the Account Managers in order to optimize the turnover in the market area. Contact with customers, who want information concerning the products and recommend them concerning the application possibilities of these products.

Main activities:

-           prepare technical information and documentation for the Account Manager;

-           support for the Account Manager in the technical field;

-           support the preparation of the specifications supplied in commercial area;

-           co-host customer on workshop visits.

 

 

2. Quotation and tender preparation

 

During the tender phase the Project Manager is allocated. Customer, area, workload and application determine the selection of the Project Manager by the Operations Manager.

The Project Manager supports the Account Manager with technical, manufacturing, planning and cost information.

Main activities:

-           Assign task to Project Support Engineer and Document Control and verify the progress and the compliance;

-           request prices and technical information from   suppliers and sub-contractors in co-operation with Proposal Engineer and Account Manager;

-           make specifications for applications;

-           prepare and participate in clarification meetings;

-           review the specifications of the RFQ and the technical part of the offer;

-           price and delivery period coordination USAS with internal suppliers, amongst others Caterpillar;

-           Verify production slots of CAT engines and other main components.

-           Organize the various basic drawings, technical information and calculations;

-           Remain compliant to customer, international, regulatory and PPOG standards.

 

 

3. Technical preparation

 

The Project Manager reviews and accepts the order and thereby accepts the full responsibility of the project. In case of major discrepancies between the preliminary budget and the Project Managers estimate, a revised project budget will be agreed. The Project Manager takes the lead in the execution of the project and forms the team around the required activities with respect to the timeline.

Timely delivery, technical compliance, efficiency, cost control and professional approach are the main topics.

Main activities;

-           planning and realization of the determined project task;

-           assign task to Project Support Engineer and Document Control and verify the progress and the compliance;

-           consult between the internal and external parties, according to specifications, quality norms, customer requirements and order confirmation, so that the technical and financial objectives are achieved;

-           keep project records, technical documentation, cost overview, specifications and documentation up to date;

-           manage and control the manufacturing;

-           prepare and align the factory acceptance test requirement and organize proper execution;

-           host and inform inspection agencies;

-           manage deviations and request for approval;

-           organize regular progress meetings with the team members and report.

 

 

4. Purchase

 

The Project Manager selects suppliers and sub-contractors, prepares the related orders, and sets the terms and conditions. Managing the delivery of the suppliers and sub-contractors is the responsibility of the Project Manager.

Main activities:

-           assign tasks to Project Support Engineers and verify the progress and the compliance

-           prepare and validate the ordering of the Caterpillar engine;

-           prepare and validate the ordering of the major supply components;

-           specify and validate the basic supply components;

-           progress guarding of Caterpillar parts/services;

-           expediting (on location) of suppliers and sub-contractors;

-           prepare information for progress meetings.

 

 

5. Execution

 

During execution the Project Manager controls the planning, technical compliance, cost development, additional work, schedule changes and work assignment.

Being in control is the general condition the Project Manager should achieve through the entire execution.

Main activities:

-           assign tasks to Project Support Engineers and verify the progress and the compliance;

-           manage deviations and requests for approval;

-           biweekly keep the reporting documents up to date;

-           monthly detailed reporting and participate in the Project Managers meeting;

-           implement learning’s and continuously improve the efficiency and control of the execution;

-           act on changes and suggest or implement solutions, transform the project team into a pro-active team;

-           resolve communication and alignment issues, stimulate face to face communication;

-           demonstrate the right behavior and follow up procedures and agreements.

 

 

 

6. Factory Acceptance Test

 

Prepare the pre and official Factory Acceptance Test. The preparation includes, costumer alignment, documentation, pre test witnessing, workshop preparation, HSE issues, etc.,

 

Main activities:

-           determine the content of the Factory Acceptance Test protocol with the customer;

-           assign tasks to Project Support Engineers and verify the progress and the compliance

-           prepare and witness tests, both inter- & external;

-           validate the test protocol;

-           prepare the required documentation of sub-contractors and suppliers;

-           lead   trouble shooting, if required;

-           register deviations on the planned test procedure before and during trial runs and determine the solutions;

-           in case of conflicts advice the Operation Manager on the PPOG position;

-           validate the final Factory Acceptance Test documentation for customer verification and acceptance;

-           validate the punch list and prepare a recovery plan;

-           host the customers.

 

7. Delivery installation

 

Create the planning for the punch list items and other pending issues. Review and ensure a correct and timely solution. Prepare and supervise the shipment preparations.

Main activities:

-           review the progress on the outstanding items;

-           provide the information for progress reporting;

-           prepare and supervise transport activities (in - and output customs authorities, package lists).

 

8. Commissioning preparation

 

Plan and agree on the operational condition at customer location for the execution of the commissioning. Ensure the availability of the Service Engineers and ensure that they are well prepared. Prepare final documents for guarantee and hand over.

 

Main activities:

-           assign tasks to Project Support Engineers and verify the progress and the compliance

-           schedule information sessions with the Service Engineer for commissioning;

-           prepare a documentation package;

-           prepare guarantee and hand over documents;

-           review all returned documents for acceptance;

-           register engine for CAT guarantee;

-           report on the progress.

 

9 Project administration

 

Administer all project related activities in line with the task related responsibilities, both in- and external tasks. Prepare documents according to procedures and register properly.

Main activities:

-           keep progress records;

-           keep track of changes, agreements and conditions;

-           initiate invoicing;

-           prepare additional work information and cost;

-           provide cost and commercial information;

-           keep documentation records and store in the assigned systems with the right identification;

-           update cost control and progress reports bi-weekly.

 

10. Documentation

 

The documentation is an integrated part of the project and also the responsibility of the Project Manager, both with regards to the   timely delivery and to the content.

 

Main activities:

-           agree on the customer documentation package and the delivery schedule;

-           assign tasks to Support Engineers and the Document Control Engineer and verify the progress and the compliance;

-           Ensure compliance of sub-suppliers with the agreed content and delivery schedule of their documentation

-           Ensure compliance with documentation requirements of other external parties, such as regulatory bodies and classification societies

-           Manage and monitor the approval process towards the customer and other external parties, ensuring timely approval for production.

11. Project close out

 

Organizing the project close out is the responsibility of the Project Manager. The close out contains all technical, financial, documentation and commissioning activities.

Main activities:

-           organize a close out meeting with Business Control;

-           decide and plan outstanding   actions;

-           organize an evaluation meeting with all project team members, Business Control, Account Manager, possibly third parties. Report the learning’s and ensure implementation in the process and next projects;

-           set up a deadline to resolve outstanding items and finalization of the documentation.

Education

-           Msc. mechanical engineering, energy technology, maritime officer , electrical engineering

-           MS-office and MS projects

-           Technical English

-           introduction to Project Management

 

Experience

-           work experience >3 years

-           practical knowledge of power (engine) driven systems

-           work experience in the Oil and Gas Industry

-           international project management
